I think the majority of us are familiar with the document scanning process when it comes to doing general document scanning from home or the office of simply placing a document on top of the glass of your scanner and setting it to work. But is it that much different for professional scanning companies?

To put it simply, yes...and no. In effect the process is still the same, however done in a more complicated and faster processed way. The scanning process can depend on the kind of document that is being scanned and, of course, the kind of scanner it's being scanned on. The most common item sent for bulk document scanning would be standard A4 documents, usually invoices or general correspondence and paperwork. These are often processed through industrial scanners that can take in many sheets at one time and therefore process the work as a much faster pace, hence why often the company will charge you less than you might expect for the service. This is all overseen by a scanning specialist to make sure that there are no problems with the document scanning process such as paper jamming or papers going out of alignment. Using a current and professional piece of scanning equipment, thousands of documents can be processed per day per scanner.

If you have something a little larger like an architects plan, a drawing or something similar, then these items will usually be done by hand and fed through a much larger scanner which is made to take such items. This can be a slightly slower process and may cost a little more than standard document scanning which can be automated, however this is the only proper way to do it. If you prefer the scanning company could cut the large item into smaller pieces and process them that way, piecing them together in the final scan at the end, but this is of course dependent on whether you're willing to let this happen.

Books and magazines are usually scanned using overhead scanners which are, in effect, top quality cameras which take high quality photographs of the pages. This is especially useful for older and rare books as there is less chance of the already fragile pages becoming damaged by a closer, high intensity scanner. Again this is usually a manual process and can take longer to do.

Modernising The Old - Choosing The Right Book Scanning Company

Books have been around for centuries and we're sure that they'll continue to be around for centuries more. Despite an increasing number of people buying the likes of the iPad and the Kindle, there's still a certain something about a book. Akin to a computer geek playing with a Commodore 64, people who read books are aware that there are modern alternatives out there, but choose not to adapt with others. So the main question is how do you select a good book scanning company to digitise your older and perhaps more fragile publications.

Well the first thing you would want to do is call around a number of companies asking them about the process and how they would go about scanning your books. Instinct is a good friend to you when it comes to services like this, so you'll be able to get a good idea of who would do a good job and who wouldn't. It's also advisable to visit the company if this is possible for you to see their equipment and how they go about the work. The majority of decent book scanning companies out there will have specialist book scanners which are meant to do the job individually and with great care. The process will take a little longer, but the results are usually excellent. These types of book scanners take photographs from above the book, rather than a conventional scanner, which scans from below, and from some distance, ensuring that as little possible effect of the high volume lighting has any effect on your book, like a standard scanner might. So ask about their equipment and see what they have. This is also a great time to say that it's not always best to go with the cheapest service, unless they are offering them same service for less. Using a continental flat bed scanner will be of a lesser charge for you, but as we say this isn't always the best option.

Checking their credentials is usually also a great idea. The ISO 9001:2000 is a particularly good accreditation to have, if not one of the best, as it ensures that all work is carried out to the highest possible standard and is assessed by an official third party for the industry, the ISO.

Before you commit, you must also get a free sample of your book. Just a couple of pages or so, but this will give you an excellent indicator of what you can expect from the scanning as a whole from your selected book scanning company.

Document Scanning - How Long Can Bulk Document Scanning Take?

A lot of the time our clients wonder how long a bulk document scanning service can take. This obviously depends on the amount of documents that need scanning, the processes that you would like completing and the type of document. But as a general example, in this article, we'll talk about general A4 documents that you would see every day whether they are invoices, standard letters or other correspondence.

It's understandable that you'd wonder how long the document scanning process would take since, inevitably, you'll more than likely need your files and documents back as soon as possible. Thankfully, these days, technology is at a stage where all this work can be done extremely quickly with excellent results, which is exactly what you would expect. So add up around how many documents you have that will need scanning and call up the company or companies that you are looking at working with and ask them for a quote, but make sure to ask how many documents they can output per day as this will give you an idea of exactly how long the process should take. Also ask them about the indexing and potential OCR processing if you are interested to see how much time this will add.

Document scanning is a worthwhile and future proof solution for the office, but make sure you go with a reputable company that offers both good results and speed.

Other tips: Look for the ISO 9001:2000 accreditation which means that their work is looked over by a third party and ask for a sample of the work to be done so you can get a good idea of how the document scanning process will turn out.
